How do I set up Event Staff roles and shifts?

Before you can schedule Event Staff for any event, set up two things once: the roles you use (Check-in Staff, Gatekeeper, Parking Attendant, etc.) and the shifts you offer (Morning, Afternoon, Full Day, Evening). Both are shared across every event for your organization, so you only set them up once and every future event reuses the same list.

Where:

From any event, open Event Staff → Roles & Shifts (the first of four tabs: Roles & Shifts, Map to Complexes, Schedule, Tasks).

Setting up roles

You have two starting points:

  • Use standard roles adds all 16 of Tourney Direct's standard Event Staff roles at once (Check-in Staff, Club Coach, Field Coach, Gatekeeper, General Field Marshall, Office Staff - Admin, Onsite Director, Operations Personnel, Other, Parking Attendant, Player, Recruiter, Scoring Staff, Shooter, Shot-Clock Staff, Table Staff). From there, use Remove next to any you don't use, and the Add field to add roles specific to your organization.
  • Start from scratch skips the standard set and builds your own list using the Add field.

Setting up shifts

Same pattern as roles:

  • Use standard shifts adds four common shift windows: Morning (7:00 AM–1:00 PM), Afternoon (1:00 PM–6:00 PM), Full Day (7:00 AM–6:00 PM), and Evening (6:00 PM–9:00 PM).
  • Or build your own shift windows with the Add field, giving each a name and a start/end time.

You can also give any role a default shift, a convenience that pre-fills the shift dropdown whenever you add a staffing slot for that role on any event.

Good to know

  • This is the same role list as Staff Directory → Standard Roles. A role added or removed in either place shows up in both.
  • Removing a role removes it from every event for your organization going forward, not just the one you're currently viewing. You'll see a confirmation prompt before it's removed.
  • A role's default shift is just a starting suggestion. You (or whoever's building the schedule) can always change the shift on any individual slot, or leave the default blank if you'd rather always choose manually.
  • Once roles and shifts are set up, head to Map to Complexes to tell the system how many of each role you need at each location. See ES-02.
