Turn it on
- Open the event's Event Staff page and choose Communicate → Sign-up Link.
- Pick the group people should be added to. If you don't pick one, they go into a group called Event Staff, which is made for you if you don't have one.
- Click Turn on sign-up link.
- Copy the link or Download QR code and share it, for example with a sport management program near the event.
What people see
A page with your logo, the event's name, dates and venue, and a short form: first and last name, mobile number, email (optional), city and state, college or school (optional), and a box to agree to texts. For each day of the event they choose Morning, Afternoon, Evening, Any time or Can't. If the event has more than one complex, they can also pick the location they prefer. After signing up they get a text confirming which days you have them down for.
What you see
- Their availability shows on the Schedule tab like any other answer, marked signed up, so you can schedule them right away.
- Availability Blast skips them for this event, since they already told you their days. For your next event, they're asked like everyone else in their group.
- They're added to your Staff Directory as Event Staff, in the group you picked, with a New tag for 7 days. See SD-07.
If someone is already on your roster
We match on mobile number first, then email. Their details on file aren't changed; they're added to the link's group and their days are saved for this event. If they'd already answered an availability request for this event, their earlier answer is kept. If Teddy was still waiting on their reply, the form fills it in and Teddy stops asking.
