How do I use my own waiver or set up a custom document request?

Use Waiver Templates to upload your own waiver (a PDF or a link) for staff to sign. Use Document Requests to ask staff for anything else, like a business license or screenshots. Turn on Track expiration for documents that renew, and they'll get the same badge, days left and reminders as a COI.

Where:

Staff Directory → Waiver Templates or Document Requests (buttons at the top of the page).

Your own waiver

  1. Click Waiver Templates.
  2. Name it, then either Upload PDF (up to 8 MB) or paste a Hosted URL.
  3. Click Add Waiver.

When you send a waiver link, you can pick which waiver to send. Staff read it on their phone, check the agreement box and type their name to sign. A signed waiver is good for 12 months.

To update a waiver, click Replace and upload the new version. The new version is used for every link you send from then on. Each signature keeps a copy of the exact version that person signed, so replacing a waiver never changes what someone already agreed to.

If you don't add a waiver of your own, staff sign the standard Tourney Direct waiver.

A custom document request

  1. Click Document Requests.
  2. Name the request, for example "Business License".
  3. Add each item you need. Staff must send in every item on the list.
  4. Check Track expiration if the document renews. Leave it off for one-time items like screenshots.
  5. Click Add Request.

Each request gets its own icon in every staff row and its own option under Bulk Send / Resend. Teddy texts the staff member an upload link, and they can send a photo or a PDF.

With Track expiration on

When you verify each item, you'll enter the expiration date printed on it. From there it works like any other credential: a colored badge with days left, and reminders 14 and 7 days before it expires to both you and the staff member (see SD-02).

Good to know

  • You can turn Track expiration on or off later by clicking Edit on the request.
  • Built-in credentials (CPR, First Aid, AED, COI, USA Lacrosse) don't need a document request. Use the credentials icon in the staff row.
  • A single signature per waiver is supported today. Documents that need several signers, like a waiver combined with a contract, aren't supported yet.
