How do I verify a document a staff member sent in?

When a staff member sends in a driver's license, certification, COI, USA Lacrosse card or other requested document, you'll get a text saying documents are waiting for review. Tap the link, open each file, and click Verify. For anything with an expiration date, enter the date printed on it. That date drives the badge and the reminders.

Where:

Staff Directory → Needs review button, then click a yellow "pending review" badge.

The texts you'll get

  • Right away when something is sent in: who sent it and how many documents are waiting. The link opens your Staff Directory with Needs review already turned on. If it arrives between 9pm and 8am Eastern, the text waits until 8am.
  • Follow-ups at 24 hours, 48 hours and 5 days after that first text, only if anything is still waiting. Each one has the current count.
  • The texts stop as soon as everything has been verified.

If more documents come in while those reminders are running, they're added to the count instead of sending you another text. After the 5-day reminder, the next document sent in starts a fresh round.

Who gets them: your Org Admins and anyone with the "request documents / waivers / DL from staff" permission (see A-06). If nobody on your account has that set up, they go to the account owner.

To verify

  1. Click the yellow pending review badge in the person's row, or click their DL or credentials icon.
  2. Click View to open the file and check it.
  3. Click Verify.
  4. For CPR, First Aid, AED, COI, USA Lacrosse, or a document request with expiration tracking, enter the Expires on date printed on the document and click Verify. You can't verify these without a date.

Driver's licenses don't need a date. They're good for 12 months from the day they were uploaded.

To fix an expiration date

Open the review screen, click Edit date next to the verified credential, pick the right date, and click Save date. The reminders reset to the new date.

Good to know

  • Waivers never need verifying. They count as done as soon as they're signed.
  • Remove Verification sends a credential back to pending if you verified something by mistake.
  • Per-event documents requested on an event page, like social media proof for Players, are reviewed on that event page and don't trigger these texts.
