How do I download one spreadsheet of coaches for several events?

On the Events page, click Export ▾ → Coach roster. Pick your events and which coaches to include, then click Download spreadsheet. You get one file with a row for each coach across every event you picked.

Pick your events

Choice What's included
All current + upcoming Every event that hasn't ended yet. Cancelled events are left out.
Choose events Only the events you check. Use the search box to find them, and the top checkbox to select or clear every event shown.
One event The one event you pick.
  • If you searched or filtered the Events page first, those events are already checked when the panel opens.
  • Each event shows how many coaches match your choices. An event with none shows 0 and still stays in the list.

Pick which coaches

Box Coaches
Confirmed (on to start) Coaches who said yes.
Checked in / Completed (on to start) Coaches who checked in or finished the event.
Offer sent, awaiting reply Coaches with an offer out who haven't answered yet. They aren't booked.
Interested Coaches who signed up but haven't been sent an offer.
Canceled Coaches who dropped out.

Leave Include stipend and check-in columns on to add Stipend $, Checked In, Check-In Time and Check-Out Time. Turn it off for a shorter file.

What's in the file

  • One row for each coach per shift. A coach working both days of a two-day event shows up on two rows.
  • Columns: Event, Event Dates, Event Start, Location, Coach Name, Program, Program Type (Men's, Women's or Club), Division, Position, Role, Shift, Status, plus the stipend and check-in columns if you left them on.
  • Rows are sorted by event date, then event, then coach last name. Every row has the event on it, so you can sort, filter or make a pivot table in Excel or Google Sheets.
  • The file is named like "coach-roster_current-and-upcoming_2026-10-15.csv".

Good to know

  • Coach email addresses and phone numbers are never included.
  • Past events aren't included. For a past event, open it on the Coaches page and use Download there (C-15).
  • Shift is blank for events or coaches without shifts.
  • Program Type shows Not set when the coach's record doesn't say men's or women's.
  • The file is built when you click Download, so it always has the latest statuses.
  • If an event can't be loaded, you'll see a message and no file is saved. Try again in a minute. Tourney Direct is alerted automatically.
  • Export ▾ → Events list is the other option: it downloads the event cards on screen with staffing and budget, not coaches.
