How do I set what someone on my team can do?

Click anyone's row in Account → Team & Permissions to expand their settings. Every action is off by default and must be explicitly checked, nothing is inferred from a job title or role. Changes save automatically as you check boxes; there's no separate Save button.

Where:

Account → Team & Permissions → click a person's row.

Org Admin

At the top, an Org Admin toggle. Turning this on grants every permission below automatically (the checklist dims to show it's not being used) and can't be turned off by anyone except another admin. Use it for people who need full access; leave it off and use the individual checkboxes for everyone else.

Can do, the full permission list

Events: edit event details; add or cancel an event.

Roster & Staff: add staff to the roster; remove staff from the roster; request documents / waivers / DL from staff. People with the documents permission also get a text when staff documents are waiting for review, and the email when staff credentials are about to expire (see SD-03).

Coaches: confirm or decline coaches; approve pay for coaches; view coach info & download the coach list (view only, no edit).

Officials: request availability from officials and assign them; approve pay for officials.

Event Staff: request availability and assign roles/fields/complexes for event staff; approve pay for event staff.

Money, Messaging & Marketing: use payroll features; create landing pages; send messages via the Messaging Hub.

Account: manage the org's account / profile settings; add people to the account and assign their permissions.

Gets notified about

A separate list, checking one of these doesn't grant any permission, it just means Teddy will text this person about that category of event: day-of-event check-in status, weekly staffing summary, cancellations & declines, offer acceptances, transfer requests, payment approval needed, post-event survey summary, and staffing-gap escalations. Post-event survey summary starts checked for operators on an event; uncheck it to stop that person's day-7 survey text (see H-09).

A person can be checked for notifications on something they have no permission to act on; useful for someone who should stay informed without being the one who takes action.

Good to know

  • TD Jobs isn't listed here on purpose; it stays on its own separate access system.
  • Need to remove someone entirely instead of adjusting them? See A-08.
