How do I add an event?

Two ways. Ask Teddy ("Help me add a new event") and he collects the details and creates it. Or do it yourself: Events → Actions ▾ → Add one event (or the "Add it myself" button on the homepage), fill in the form, and click Submit on the last tab. Adding several events at once? Use Events → Actions ▾ → Bulk upload events. Running last year's event again? Click Run it back on its event card, or see E-19.

With Teddy (fastest)

  • Say "Help me add a new event."
  • Teddy asks for the name, dates, location, event type (boys/girls/both), who gets stipends, and staff classification. Answer one at a time or all at once.
  • Teddy shows a summary. Click Confirm and the event is created. Then add staff, publish to the marketplace, or manage shifts from the event page.

Yourself (the Add Event form) The form has six tabs across the top. Required fields have a red *. The Submit button is on the last tab, Payroll Management.

  • General Information: your first name, last name, and email (the event's point of contact).
  • Event Information: event name, website, start and end date, location, timezone (see E-03), event type, stipend type (which roles get paid), staff classification (W-2 / 1099 / undecided), description, marketplace checkbox, logo.
  • Manage Shifts: optional, but strongly recommended: shifts control when check-in links are texted. "One shift per day" is right for most events.
  • Coach Information / Staff Information: how many you need, budgets, role-specific descriptions, hotel stipend.
  • Payroll Management: tick Add TD Pay only if Tourney Direct is paying your staff, then Submit. Through the end of 2026, Tourney Direct handles payment approval with you directly. Starting in 2027, payments run through Payroll. See PR-01.

Adding many events at once (bulk upload)

  • Events → Actions ▾ → Bulk upload events (or go to operators.tourneydirect.com/bulk-event-upload).
  • Click Download template and fill in one row per event. Required columns are highlighted in yellow, optional in gray, and dropdown columns only accept the listed values.
  • Save as CSV, drag it onto the upload box, and click Upload and Create Events.
  • Read the results table: green Success rows were created, gray Skipped rows already existed, red Failed rows tell you what to fix. Download Failed Rows gives you a CSV of just the failures to correct and re-upload. Full details in E-04.

Good to know

  • If a required field is empty the form highlights it in red and scrolls to it. There's no error message, so look for the red box.
  • Click Submit once. Creating the event takes a few seconds.
  • After creating, use Edit this event to add arrival instructions, complexes, files, and get your staff link (E-05). The Events Quick Start guide walks through it: https://help.tourneydirect.com/guides/events.html
