How do I edit an event after it's created?

Open the event, then Actions ▾ → Edit this event (or click Full edit on the event card). Change what you need and click Save event in the right-hand panel. For a quick change, ask Teddy ("Update the event description to …", "Change the arrival time to 7 AM") and confirm, or click Quick edit on the event card.

Where:

Events → select the event → Actions ▾ → Edit this event.

What's on the Edit Event page (top to bottom)

  • How are people joining this event? Tick Paid staffing (people work shifts and get paid), RSVP invitations (coaches are invited to attend, no work and no pay), or both. RSVP only hides the pay and day-by-day sections.
  • Schedule & arrival: name, type, the company name staff see, dates, start/end time, staff arrival time, onsite point of contact. See E-07.
  • Schedule by day: different times per day for multi-day events.
  • Location & complexes: Complex 1 is your primary location; add as many complexes as you need. Each complex's box holds its field maps, check-in spot, parking and parking passes. See E-06.
  • Pay & stipend: how staff are paid, the stipend payment date staff see, staff classification, and which roles get stipends. See E-11.
  • Descriptions: overall, plus one each for coaches, officials, event staff and trainers.
  • Links: Tourney Machine schedule, detailed schedule URL, schedule notes.
  • Files: rules, schedule file, additional document, logo. Field maps and parking passes are in each complex's box. See E-09.
  • Event readiness, Save event, Preview as staff and Generate staff link are in a narrow panel on the right. On a smaller screen they're in a bar across the top instead. See E-08.

What you must fill in to save

  • Event name and start date (the end date can't be before the start).
  • A name for Complex 1.
  • A Start time and an End time, or a full row (date, start, end) for each day in Schedule by day. Check-in and check-out texts are timed from them.

Event readiness

The percentage counts nine things staff rely on: event name, start date, start time, end time, staff arrival time, location, pay information, a schedule (link or notes) and a field map (on any complex). Fields tagged recommended aren't needed to save but count toward readiness. Readiness never blocks saving.

Good to know

  • Nothing saves until you click Save event, including files you upload. If you try to leave with unsaved changes, you're asked first.
  • If part of a save didn't go through, you'll see "Event saved, but … didn't save. Try saving again." Click Save event again.
  • Changing times here updates the check-in and check-out timing for the event. Days that have their own shifts in Manage shifts keep those shift times.
  • Head Trainer accounts can't edit events.
