How does check-in and check-out work for Event Staff on event day?

Staff check themselves in and out from their phone. Teddy texts each confirmed person their check-in link shortly before their shift. Their times appear in the Check-in and Check-out columns on the Schedule tab, and their Status changes to Checked In. You can change anyone's status yourself from the Status dropdown in their row.

Where:

Event Staff → Schedule → the Status, Response, Check-in, and Check-out columns.

Watching event day

  • Filter All statuses to Confirmed to see who is expected but hasn't checked in yet.
  • Filter to Checked In to see who is on site.
  • Use All dates and All complexes to narrow to today and one location.

What the columns mean

  • Response: their answer to the assignment text. Pending, Accepted, or Declined.
  • Status: where they are overall. The ones you'll see most are Confirmed, Checked In, Not Available, No Show, and Canceled.
  • Check-in / Check-out: the time they tapped in and out. A dash means it hasn't happened.
  • "2 roles today": this person is working more than one role that day. They check in and out separately for each.

Fixing things by hand

  • Someone arrived but didn't check in: set their Status to Checked In.
  • Someone never showed: set their Status to No Show.
  • Or ask Teddy, for example "check in Jordan Reyes for today."

Good to know

  • Checking out does not change someone's status. They stay Checked In, which is what lets you pay them afterward.
  • If someone forgot to check out, their hours stay blank until you enter them. See ES-07.
