How do I get availability from my officials?

From the Get Availability card, click Send Availability Request to text everyone in your officiating group asking which days/times they can work. Teddy collects responses and updates your stats automatically. Or ask Teddy: "Send availability requests to my officials" and confirm.

Where:

Events → select the event → Officials tab → Get Availability.

Your options

  • Send Availability Request: texts everyone in your officiating group for this event. This is blocked automatically once the event's start date has passed, since blasting officials for an event that's already underway isn't useful.
  • Send availability request to more officials: only texts officials who were added to your group after your last blast, so you don't re-ask everyone from scratch when you add a late addition.
  • Resend Availability Request: lets you choose between resending to non-responders only or to everyone (a full do-over), and you can add an optional note at the top of the message. Useful for a date change or a correction.

Reading the numbers

Below the three cards, four stats update live: Requests Sent, Responded, Available, and Haven't Responded. "Requests Sent" reflects officials who were actually contacted; it's not your total roster size, so it'll read 0 until you've sent something.

Checking exactly who got what

Click View Delivery Status for a per-official breakdown: delivered, sent (accepted by the carrier but not yet confirmed delivered), not sent, failed, or opted out, each with a plain-English note on what to do about it (e.g. "No mobile number on file," "Carrier blocked the message," "They texted STOP"). This is the most reliable way to check whether a specific official actually got texted, rather than relying on the summary numbers alone.

Already collected availability outside Teddy?

Click Upload Availability to import it from a spreadsheet instead of texting everyone again. Each row needs a name, email or phone (to match them to an official already in your group), a day-by-day answer, and an optional preferred complex. It only updates officials already in your group; it won't add anyone new, and any row it can't match gets reported back to you rather than silently dropped.

Need to set or fix someone's availability yourself?

Click Edit an official's availability to set their days and preferred complex directly, the same way Teddy would collect it. Useful for a quick correction, or for someone who answered you outside the system. It updates the same record Teddy writes to, so it shows up correctly wherever you're assigning officials without any extra step.
