What happens when a text fails, or a coach opts out?

If a text can't be delivered, Teddy emails the coach instead, automatically, within a few minutes. If there's no email, the coach shows under Needs attention so you can add one. Coaches who reply STOP are never texted again unless they text START, and they get emails instead.

The Delivery column and the Needs attention strip on the RSVPs page. Fix contact details in the coach's details.

When a text fails

  • Common reasons: the number is a landline, has changed, or can't take texts.
  • With an email on file: the invitation or reminder goes out by email, and the coach switches to email from then on.
  • With no email: Needs attention shows "The text failed and there is no email on file." Open the coach, add an email or a better mobile, and click Save contact details. The invitation is sent again.

Opting out

  • STOP (or UNSUBSCRIBE, END, QUIT) turns off all Tourney Direct texts to that number, for every organization. Teddy confirms once. Only the coach texting START turns them back on.
  • HELP tells the coach who Teddy is, and gives your questions contact for the event.
  • Every email has an Unsubscribe from RSVP emails link. It stops RSVP emails to that address, while their RSVP page link keeps working.

If sending is paused

Your texts and emails go out from the same number and email address every Tourney Direct customer uses, so we watch for lists that cause delivery problems. If, over the last 7 days (and at least 25 messages), a lot of your emails bounce or are marked as spam, a lot of your texts fail, or several coaches reply STOP, your sending pauses automatically.

  • New invitations and "haven't answered" reminders wait. Coaches who already answered still get their confirmations, reminders, check-in links and event updates.
  • The RSVPs page shows Sending is paused, and the send buttons are turned off.
  • Email info@tourneydirect.com. Once we've looked at the list together, we turn sending back on and anything that was waiting goes out.

Coaches who sign up themselves on your public sign-up link don't count toward these checks.

The most common cause is an old or purchased list. Lists of coaches who know your organization and expect to hear from you almost never trigger it.

Good to know

  • A coach with no mobile can sign up for text updates on their RSVP page. From then on Teddy texts them.
  • Emails that bounce are marked Bounced in the Delivery column.
