How do I preview and send RSVP invitations?

Click Preview and send invites. You'll see the exact text and email your coaches will get, filled in with a real coach from your list, plus how many will get a text and how many an email. Click Send invites to N coaches to send. Only coaches who haven't been invited yet are included.

Where:

Events → RSVPs, the orange Preview and send invites button. The number in brackets is how many coaches haven't been invited yet.

Before you send: set Who should coaches contact with questions? under Actions → RSVP settings. Until it's set, the send button stays off and the preview tells you why.

What coaches get

Coaches with a mobile number get a text from Teddy, plus the same invitation by email if they have an email address.
Coaches with no mobile number, or who have opted out of texts, get the email only.

The text introduces Teddy and your organization and says it's an invitation only, for example:

Hi Maria, it's Teddy with Tourney Direct on behalf of Elite Tournaments. You're invited to attend the 2026 IWLCA Presidents Cup on Nov 20-22 at Premier Sports Campus and Tampa Sportsplex. This is an invitation only, not a paid opportunity. Will you attend? Reply YES or NO. STOP to opt out.

The email comes from your organization's name and greets each coach by first name. It shows your logo at the top (or your organization's name if you haven't added one), the event details, a map link for each venue, and two buttons in your button color: Yes, I'll attend and No, I can't make it. The bottom lists your questions contact, and a coach who replies to the email reaches that person. Tourney Direct appears only as a small "Powered by Tourney Direct" line, and the same goes for the RSVP page coaches open from the email.

When it goes out

Texts only go out between 9 AM and 8 PM in the coach's own time zone (worked out from their area code). A text due outside those hours waits until 9 AM.
Texts go out about one per second, so a large list takes a few minutes.

Good to know

The preview shows how many characters the text is and how many texts it counts as. Longer event or organization names can make it longer.
Coaches added later can be invited the same way. The button only sends to the new ones.
The name invitations come from is your organization's name. You can change it under Actions → RSVP settings → Invite from.
Your logo comes from the event (Operator logo when you edit the event), or your saved company logo.
If a coach can't be reached (no email, and texts are off), the preview tells you, and they show under Needs attention. See RV-09.
If your sending has been paused because a recent list had delivery problems, the send buttons are turned off and the page tells you why. See RV-09.
