How Send works

  • Send always uses your latest saved schedule, even if the page has been open a while. Save in Assign Officials first, then click Send.
  • Only officials who need a text get one: never texted, or their games changed since their last text. Everyone else is left alone, so clicking Send again never texts anyone twice.
  • When it finishes you see who was sent, who wasn't and why (for example, no mobile number), and how many were already up to date.
  • Under each official's status you can see every text we sent them, newest first, with a ✓ when it reached their phone.

How officials answer

  • 1 accepts all of their games. 2 declines all of them.
  • Some games: they tell Teddy which games they can't work ("can't do 2") or which they can ("only the morning games"). Teddy reads it back: "✅ Accepting… ❌ Declining… Reply YES to confirm." Nothing changes until they reply YES.
  • When someone declines a game, it shows ⚠ Needs refill in Assign Officials and you get a text naming the game, so you can assign someone else.
  • The Response column shows Accepted all 3, Declined all 3, or Accepted 2 of 3 when they kept only some.

Confirm or decline for an official yourself

If an official tells you directly (by phone, email or in person) that they're in or out, you don't have to wait for them to reply to Teddy:

  1. In the Send Assignments card (step 3), click Accept or decline for officials.
  2. Tick each official, or click Select all.
  3. Click Accept or Decline.
  • Accept: they're confirmed for all their games, exactly as if they'd replied 1. Teddy texts them that the event's assignor confirmed them, with their games and a calendar link. No reply needed.
  • Decline: they're taken off all their games, those spots show as open in Assign Officials so you can fill them, and Teddy texts them that they've been taken off.
  • This is all or nothing for each official. To keep someone on only some games, take the other games off them in Assign Officials, save, and click Send Assignments.
  • This works whether or not you've clicked Send Assignments. If you haven't, they never get the "accept or decline?" text, just the confirmation.
  • The text always names the event's assignor, not whoever clicked.
  • Officials without a mobile number are still confirmed or removed; they just don't get a text.

An official says they never got it

  • Click Resend assignments under their status. You see the exact text before it goes out. If nothing changed, they get a copy that says they've already accepted and don't need to reply.
  • Or ask Teddy: "Was Mike Smith texted his assignments?" Teddy shows when it was sent, whether it reached their phone, and anything they replied.
