How do I turn on RSVP invitations for an event?

When you create or edit an event, answer How are people joining this event? and check RSVP invitations. Keep Paid staffing checked too if the same event also has paid coaches, officials or staff. The event then appears on the RSVPs page.

Where:

  • New event: Add Event → General Information, at the top.
  • Existing event: Edit this event, the first section of the editor.

Your choices

  • Paid staffing only: the event works exactly as it always has.
  • RSVP invitations only: an event you're inviting people to attend. Pay, stipend and shift sections are hidden because they don't apply (on Add Event: the Manage Shifts, Coach Information, Staff Information and Payroll Management tabs; in the editor: Pay & stipend and Schedule by day).
  • Both: for example, paid event staff working the event while college coaches are invited to attend. Everything for paid staff keeps working, and the RSVP pieces are added on top.

You have to choose at least one.

After you save

  • The event shows an orange RSVP badge on your Events overview, with a count like "42 attending · 18 no response" and a View RSVPs link.
  • On Add Event, the confirmation screen has a Next: add coaches to invite link that opens the RSVPs page for your new event.

Good to know

  • An event with RSVP invitations only never sends staffing texts, availability requests, staffing alerts or payment approvals. On its event card, the Coaches, Event Staff and Officials links are grayed out.
  • Each event still needs its start and end times. Teddy uses them for reminders and check-in.
  • Close date, reminder timing, which venues you're inviting coaches to, the name invitations come from and who coaches contact with questions are set on the RSVPs page under Actions → RSVP settings. Fill in the questions contact before you send: invites can't go out without it. See RV-07.
