What are RSVP invitations, and when should I use them?

RSVP invitations let you invite coaches to attend an event (no work, no pay) and see who is coming. Teddy texts each coach the invitation, they reply YES or NO (or tap a button in the email), and the RSVPs page shows everyone's answer in one place. Use it for things like college coaches attending a showcase, or guests you want a headcount for.

Where:

Events → RSVPs in the portal sidebar. The event must have RSVP invitations turned on first. See RV-02.

How it works, start to finish

  1. Turn on RSVP invitations for the event. An event can use RSVP invitations and paid staffing at the same time.
  2. Add coaches by uploading your list as a CSV file. Nothing is sent yet. See RV-03. You can also share a public sign-up link so coaches RSVP themselves. See RV-10.
  3. Preview and send invites. You see the exact text and email before anything goes out. See RV-04.
  4. Coaches answer by text or email, and can change their answer until RSVPs close. See RV-05.
  5. Teddy sends reminders on a schedule you control, and updates coaches if the date or venue changes. See RV-07.
  6. On event days, coaches who are attending get a check-in link by text. See RV-08.

Good to know

  • Every invitation says clearly that it is an invitation to attend, not a work or paid opportunity.
  • Invitations come from Teddy, the Tourney Direct text assistant, on behalf of your organization. Coaches without a mobile number get the invitation by email.
  • Emails and RSVP pages show your logo, your button color and your contact for questions. Tourney Direct appears only as a small "Powered by" line.
  • Coaches who say yes get a link to add the event to their phone's calendar.
