What is Tourney Direct Payroll?
Tourney Direct Payroll lets you pay your own 1099 contractors and W-2 employees by direct deposit, right from your portal. You set up your organization once, add your people, and Teddy texts each of them a secure link to set up their pay. After that, every payroll is: enter pay, approve, done.
How do I decide between 1099 and W-2 for my staff, and how does it change setup?
1099 contractors are independent workers with no taxes withheld; they handle their own taxes, and you skip the work location, tax, and pay schedule steps. W-2 employees are on your payroll, so taxes are withheld and filed for them, and setup adds a work location, federal and state tax setup, and a pay schedule.
How do I set up my organization for payroll?
This is a one-time setup, about 15 minutes, done by whoever handles your club's business and banking. On the Organization page, answer who you pay, complete Company setup, then (for W-2 or Both) add a work location, taxes, and a pay schedule. Finish by saving your approvers.
What documents and agreements will I need to sign during company setup?
Company setup asks you to sign several agreements and upload a couple of business documents, once per EIN. There's a good reason for every item: a licensed payroll provider has to become your authorized agent with the IRS and each state before it can legally file taxes and move money on your behalf.
How does bank verification work, and do I have to wait?
During Company setup you confirm the bank account payroll is funded from, one of two ways. If you connect your bank through Plaid by signing in to it, you're good to go, with no wait. If you choose two small deposits instead, they arrive in 1 to 3 business days; when they land, click Confirm bank deposits and enter the two amounts.
How do I add staff and send them their onboarding link?
On the Employees & Contractors page, use Add people to bring people in, set each as 1099 or W-2, then click Send link. Teddy texts them a secure link to set up their pay. They don't log in or create a password, and their sensitive details never pass through you.
How do I enter hours and pay for a payroll run?
On Hours & Pay, set each person's rate type and rate, then enter their Qty for this period. Tab out to save, and Gross fills in. Anyone with no Qty this period isn't paid.
How do I approve and release a payroll?
On Approve & Pay, check the period, review who's Ready and who's Held, leave the pay date empty (or pick a later weekday), and click Approve and pay. This is the step that actually releases money.
What text and email will my staff receive about payroll?
Your staff never log into a portal. They get a welcome email, then Teddy, the Tourney Direct text assistant, texts them a secure link to set up their pay. If they don't finish, Teddy sends reminders. After that, Teddy texts them each time they're paid.
Payroll troubleshooting and frequently asked questions
Most payroll questions come down to timing (verification, pay date lead time) or who's allowed to act (approvers, tax classification). Answers to the most common ones are below.
How do I run payroll for more than one EIN?
If your organization pays people from more than one business, add each EIN on the Organization page. Each EIN is its own company with its own bank and its own Company setup. Use the EIN dropdown at the top to switch between them, and set Paid by on each person.
What does my Payments card status mean, and why was I asked for more documents?
The Payments card at the top of the Organization page tells you whether you can pay yet, and lists exactly what's still needed if you can't. Because payroll moves money for you, every business is verified before payments go out, and the verification team may ask for an extra document.
How do pay dates work, and when does the money move?
Leave the pay date empty and it uses the earliest available date, about three business days out. Same-day and next-day pay aren't available. Your account is debited about two business days before the pay date, and pay arrives by direct deposit on the pay date.
Where do I see past payrolls, statements, and year-end tax forms?
Reports shows every payroll you've approved. Click Statement on any payroll for a printable record (save it as a PDF), or CSV for a spreadsheet. Totals by person shows what each person has been paid this year. Year-end W-2s and 1099-NECs are under Year-end tax forms.
Are state new-hire reports filed for my 1099 contractors?
Yes, in most states. After a contractor's first payment, their state new-hire report is filed for you automatically in 27 states. New York and Connecticut aren't filed automatically yet, so contact support if you pay contractors there.
How do I get a certificate of good standing for my state?
A certificate of good standing is a document from your state that shows your business is registered and up to date with the state. The payroll verification team may ask for one during Company setup to confirm your business is active. Most states let you order it online in a few minutes, often for $5 to $25. Find your state below.
I can't find my EIN letter. How do I get a copy?
The IRS doesn't reissue your original EIN letter (the CP 575), but it will send a replacement called Letter 147C, "EIN Previously Assigned." Call the IRS Business & Specialty Tax Line at 800-829-4933, Monday to Friday, 7 a.m. to 7 p.m. your local time, and ask for a 147C. Some businesses can also download a digital copy of the CP 575 from their IRS Business Tax Account.
How do I connect QuickBooks to payroll?
Go to Payroll → Organization, choose the EIN, and click Connect QuickBooks in the Accounting: QuickBooks box. Sign in to QuickBooks, pick your company, then choose three accounts and click Save accounts. After that, each payroll is recorded in QuickBooks automatically once it's paid.
